Job Summary: The Assistant Project Manager is responsible for assisting the Production and Client Services team with managing prospective and current projects. The Assistant PM will work side by side with internal teams, vendors and clients to design, build and execute custom projects on a daily basis. The Assistant PM will work alongside the Lead PM to facilitate and implement a set of processes and goals for each project and is central to all project communication and scheduling.
Essential Job Functions:
- Attends sales meetings with SME and clients to review the project objectives post sale.
- Attends all project hand off meetings.
- Takes notes and keep minutes during sales and hand off meetings.
- Assist and reviews all contracts prior to sending to the client
- Assist production managers in the execution of the project plan for assigned projects and manages project from inception to completion
- Review project designs and contributes to project team on executing project budget and client objectives
- Facilitates communications between internal team, vendors and all stakeholders in project
- Tracks and directly reports project status updates to Production and Client Service managers
- Helps problem solve issues and suggest ways to improve the project
- Organize, file, and maintain all current project documents
- Assist in ensuring compliance with necessary specifications
- Help manage, and maintain project budget
- Assist in creating and adhere to project timeline and calendar
- Assist Lead PM with scheduling client meetings, calls and site visits.
- Consult with and gather information from technicians, engineers, contractors, etc as needed
- Maintain positive vendor and client relationships
- Lead and complete special assigned side projects
- Available to respond to emergency project needs after hours including nights, weekends and holidays.
Qualifications Required:
- High School Diploma
- Highly computer literate and proficient in Microsoft Suite
- Exceptional clerical skills and strong business acumen
- Organized and detail-oriented
- Skilled collaborator
- Excellent communicator both orally and written
- Comfortable self-starting assigned projects
- Confident and eager to engage with clients
- PC Skills; MS office applications
Preferred:
- Bachelor’s Degree or Associate Degree
Essential Physical Requirements:
While performing the duties of this job, the employee is frequently required to:
- Able to sit for long periods of time
- Turn the head, neck and shoulders to both the right and left
- Use of arms/legs to lift and/or move up to but not limited to 50 pounds
- Perform tasks that require adequate manual dexterity in the use of keyboards and keypads, handle or touch objects or controls
- Talk and listen
- Specific vision requirements include ability to listen to telephone conversations as well as face to face conversations
- The noise level in the work environment is usually moderate
- Work beyond a 40-hour week may be required
