Job Summary: The Project Manager is responsible for assisting the Production and Client Services team with managing prospective and current projects. The PM will work side by side with internal teams, vendors and clients to design, build and execute custom projects on a daily basis. The PM facilitates and implements a set of processes and goals for each project and is central to all project communication and scheduling.

Essential Job Functions:

  • Attends sales meetings with SME and clients to review the project objectives post sale.
  • Attends all project hand off meetings.
  • Takes notes and keep minutes during sales and hand off meetings.
  • Assist and reviews all contracts prior to sending to the client
  • Assist production managers in the execution of the project plan for assigned projects
  • Coordinates and manages project from inception to completion
  • Review project designs and contributes to project team on executing project budget and client objectives
  • Facilitates communications between internal team, vendors and all stakeholders in project
  • Tracks and directly reports project status updates to Production and Client Service managers
  • Helps problem solve issues and suggest ways to improve the project
  • Create and submit invoices to accounting for processing
  • Organize, file, and maintain all current project documents
  • Assist in ensuring compliance with necessary specifications
  • Help create, manage, and maintain project budget
  • Help creates and adhere to project timeline and calendar
  • Works with clients to schedule meetings, calls and site visits.
  • Consult with and gather information from technicians, engineers, contractors, etc as needed
  • Maintain positive vendor and client relationships
  • Lead and complete special assigned side projects
  • Be a knowledgeable resource in matters related to our business
  • Available to respond to emergency project needs after hours including nights, weekends and holidays.
  • Review of the QMS criteria and methods to ensure that both the operational and control of these process are effective.
  • Continue to monitor, measure, and analyze the QMS processes and implement actions necessary to achieve planned results and continued improvement.
  • Conduct Internal Audits as needed

 

Qualifications Required:

  • High School Diploma
  • 2+ years’ experience as an assistant project manager, director assistant or as an executive administrative assistant
  • Knowledgeable in our specific field
  • Highly computer literate and proficient in Microsoft Suite
  • Exceptional clerical skills and strong business acumen
  • Organized and detail-oriented
  • Skilled collaborator
  • Excellent communicator both orally and written
  • Comfortable self-starting assigned projects
  • Confident and eager to engage with clients
  • PC Skills; MS office applications

 

Preferred:

  • Bachelor’s Degree or associate degree

 

Essential Physical Requirements:

While performing the duties of this job, the employee is frequently required to:

  • Able to sit for long periods of time
  • Turn the head, neck and shoulders to both the right and left
  • Use of arms/legs to lift and/or move up to but not limited to 50 pounds
  • Perform tasks that require adequate manual dexterity in the use of keyboards and keypads, handle or touch objects or controls
  • Talk and listen
  • Specific vision requirements include ability to listen to telephone conversations as well as face to face conversations
  • The noise level in the work environment is usually moderate
  • Work beyond a 40-hour week may be required
