Description
  1. Summary: The Accounts Payable Coordinator provides direct administrative support to the Finance Manager and department. Duties included fielding telephone calls, scheduling/coordinating internal and external meetings as needed, expense management and accounts payable. Deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Ability to work independently is required to plan, prioritize and organize a diversified workload and coordinate office schedules.

Essential Job Functions:

  • Assist in organizing, scheduling, and coordinating internal and external meetings/appointments for the finance department.
  • Responsible for ensuring all expense reports are verified against Amex and credit card Statements and entered against the appropriate Project number or Cost/Expense Code
  • Issue reports weekly of missing or incorrect expense reports to the appropriate Project Manager or Department.
  • Establishes, develops, maintains and updates filing. Retrieves information from files when needed.
  • Maintains and updates weekly project spreadsheets for staff and invoicing meetings.
  • Works independently and within a team on special nonrecurring and ongoing projects. Assists with special projects, at the request of the Finance Manager.
  • Types and formats general correspondences, memos, proposals, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy at the request of the Finance Manager.
  • Scanning invoices, expense reports and other confidential reports to appropriate parties
  • Entering AP Invoices into accounting system with appropriate Job codes
  • Responsible for filing all vendor paperwork, invoices, etc. Filing should be completed weekly.
  • Responsible for matching vendor invoices to payments issued and mail checks to vendors.
  • Orders office supplies and updates the Purchasing manager on any company products that need to be replenished.
  • Keep a clean working environment
  • Effectively and politely communicate with all visitors and team members
  • Must be self-motivated and work without much supervision
  • Maintains the integrity of the company’s practices

Qualifications Required:

  • High School Diploma
  • 3+ years of Accounts Payable experience
  • PC skills; MS office Applications including Microsoft Excel
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills

Preferred:

  • Accounting Experience

Essential Physical Requirements:

While performing the duties of this job, the employee is frequently required to:

  • Able to sit for long periods of time
  • Turn the head, neck and shoulders to both the right and left
  • Use of arms/legs to lift and/or move up to but not limited to 50 pounds
  • Perform tasks that require adequate manual dexterity in the use of keyboards and keypads, handle or touch objects or controls
  • Talk and listen
  • Specific vision requirements include ability to listen to telephone conversations as well as face to face conversations
  • The noise level in the work environment is usually moderate
  • Work beyond a 40-hour week may be required
